A family reunion is a great opportunity for extended family members to get together and learn more about their lineage. However, planning such a large event with so many people can seem like an arduous task. If you’re hoping to do this, organization and assistance are your best allies. Here are a few tips that will help you plan and organize the perfect family reunion.
Recruit a Team
Get other people in the family involved by asking them to assist with planning and preparations. You should also start spreading the word about the big event well in advance, at least one year. This provides family members with adequate notice so they can adjust their schedules accordingly. Family members with kids are also a group to consider. If you want your reunion to be a kids-included affair, consider scheduling the event during the summer, on a long weekend or over Christmas break. This way, school won’t interfere with their ability to attend.
For those family members who volunteered their services in the planning process, consider assigning different responsibilities. Tasks like games, presentations, pictures, souvenirs, apparel, decorations, invitations and music can all be assigned to individual members. Doing this helps everyone feel more involved, and it also evens out the work load so nobody is overly burdened.
As the head of the planning committee, it’s important to let others know what, specifically, they should be doing. Write down the details of the tasks you assign, along with the date it has to be done by. This can be achieved more easily with event planning software.
Conduct Progress Meetings
Every two months or so, hold a meeting of your planning committee to discuss the overall reunion progress. Use this time to follow up on tasks, add or amend ideas or address any roadblocks. It’s important to communicate openly and clearly with one another. Otherwise, problematic misunderstandings will be inevitable.
Hire a Caterer
Of course, one of the most important considerations of a family reunion is the food. There will be lots of hungry people attending, so you need to make sure they’re happy. If you’re looking for a great caterer, call the personal chefs at Chef Chic for all of your Tucson catering needs.
